Your Privacy Matters
How we collect, protect, and manage your personal information in line with Australian Privacy Principles.
This Privacy Policy explains how CoachStation ("we", "our", "us") manages personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We are committed to handling all information honestly, transparently, and respectfully.
1. What We Collect
We collect personal information that helps us deliver our coaching, consulting, and development services effectively. This may include your name, role title, contact details, business information, and any other details shared with us during coaching, workshops, or communication. When you interact with CS CoachBot, our AI-assisted enquiry tool, we may collect your first name, email address, and company name so we can follow up appropriately. We also collect non-identifiable information through our website, such as general analytics, to improve performance and experience.
2. How We Use Your Information
Your information is used only for the purpose for which it was collected, which may include:
- Providing coaching, mentoring, or training services
- Communicating about programs, sessions, or related opportunities
- Managing bookings, payments, or client administration
- Improving our website, tools, and client experience
- Complying with any legal or regulatory obligations
3. Disclosure of Information
We will never sell, rent, or trade your information. Personal data may be shared with trusted partners or service providers who assist in delivering our services, for example payment processors, scheduling tools, learning platforms, or Coachvox, the platform that powers CS CoachBot. These partners are required to handle your information in accordance with privacy standards and only for the agreed purpose. Some of these service providers may store or process information outside Australia. Where this occurs, we take reasonable steps to ensure the overseas recipient handles your information consistently with the Australian Privacy Principles.
4. Use of Artificial Intelligence
We use artificial intelligence tools to support parts of our business. CS CoachBot is an AI-assisted assistant that can answer questions and capture enquiry details on our website. Conversations you have with CoachBot are processed by Coachvox, our third-party AI platform provider, in line with the disclosure above. We also use separate AI tools internally to help manage and improve the content CoachBot draws on. These internal tools work with the underlying training material we provide, not with your individual conversations or contact details. We do not use AI to make automated decisions that have a legal or significant effect on you.
5. Data Security
We take reasonable steps to protect personal information from misuse, loss, unauthorised access, or disclosure. This includes secure systems, password protection, restricted access to third-party platforms, and limiting access to those who require information for legitimate business use. While we apply best-practice safeguards, no method of electronic storage is entirely risk-free.
6. Access and Correction
You can request access to the personal information we hold about you, or ask for corrections if it is inaccurate or incomplete. We will respond promptly and may require proof of identity to verify your request.
7. Cookies and Website Analytics
Our website may use cookies to improve functionality and measure performance. Cookies do not identify you personally but help us understand visitor behaviour and optimise our site. You can adjust your browser settings to disable cookies if preferred.
